 TGIF Guidelines

Guidelines for the students organizing the TGIF:

(a) Someone needs to reserve room to be used for the TGIF; the reservation should allow time for setup.  If the TGIF will 5:30, reserve the room 45 minutes ahead of time for set up, and allow 20-30 minutes for clean up. TGIFS normally run an hour to an hour and a half. The organizers should email Mike the Monday before the TGIF with the announcement email to allow him enough time to inform the
mailing lists

(b) TGIF organizers should be aware of the University alcohol policy:
www.upenn.edu/almanac/v46/n02/A-Dpolicy.html#con
Beer, wine, & soft drinks are the preferred beverages.

Non-carbonated drinks, i.e. water and juice, should also be purchased for
students who do not drink beer or soda can still participate.

(c) TGIF orgnizers should monitor the event, making sure people behave responsibly.

(d) The room being used should be cleared & cleaned up and the alcohol put away, at the designated time for the end of the TGIF, usually 6:00.

(e) Make sure *all* trash (including contents of trash cans in 307) is bagged and left in the kitchen -- it would be great if someone could take the bagged trash to the dumpster area on the first floor of Moore GRW, behnd the double doors next to the Copy Center as sometimes the trash isn't picked up until Monday AM.

(f) Wipe down tables

(g) Make sure the controller for the projector system is on its charger in the closet

(h) Check that room is in a state where it can be used by whoever needs it on Monday morning, i.e. the way you found it.  Normally this consist of two rows of desks and chairs.

(i) Alcoholic beverages should be purchased in Pennsylvania.
Springfield Beer Distributer, 600 Schulykill Ave., just over the
South Street Bridge, (215) 546-7301, accepts a UPenn purchase
order, available from the CIS/ESE Business Office.

Or
University Liquor on 43rd and Walnut Street (cheaper but does not deliver)
UPenn's "How to Buy Wines & Spirits" web page provides more info -
www.purchasing.upenn.edu/buyinfo/how-to-buy-wine-spirits.php
Save all receipts, etc. for reimbursement throught the CIS/ESE Business Office.

A normal TGIF requires normally 3 cases of beer, 3-4 liters of soda, 2
liters of juice, 3 bags of ice, and a pitcher of water for the beverages
(pitcher in kitchen).

(j) Food should be purchased in a manner to feed enough people.
Old TGIF menus include Pizza, Chinese food, Mexican, Win and Cheese, Ice Cream
and Waffles.
Possible suggestions are:
- Campus food offers deals normally to Pappa Johns, and other good places.
- Ed's Buffalo Wings & Pizza offers 1 free pizza for every 4 purchased.
